Liz Hein addressed the group, thanking the New Family Welcome Committee for their work this year on New Family Breakfast, Play at the Park and the New Family Cocktail Party. Anne Phoenix Liz Hein Mrs. Hein also spoke to the timelines for events this year being 6:00 pm 8:00 pm 7:30 7:45 Treasurer s Report.... Margaret Herron reviewed the SJSPA P&L statement for August 2016, and the Profit & Loss Budget Overview. Margaret Herron OLD BUSINESSS 7:45 7:55 School Supplies.. Margaret Herron Families 89 students participated which equated to 50 families. School supplies vendor had their 25 th Anniversary and gave us a 2% bonus on the $ so our commission check was $ Item Owner ONGOING BUSINESS 7:55 8:05 New Family Welcome.... SJSPA increased budget for gifts for our new families and food budget for New Family Breakfast, Play at the Park, and Cocktail Party. Cocktail Party challenges, keys to the Koenig center did not work because we did not have a keycard, this needs to be addressed for future events. is going to look into this further and provide direction going forward. Christie Krupka Kimberly Fuscone Suzanne Nutschnig Amy Savage Cindy Feinendegan This year s Cocktail Party format was changed in regards to asking mentors to bring food to the event. SJSPA funded the entire event for the New Family Welcome cocktail party as well as New Family Breakfast, Play at the Park, Welcome signs and new family gifts. NFWC has opted to begin migrating there documents and materials to a google drives to share notes and information, floor plans of events, etc. NFWC will SJSPA Agenda 9/6/16 Page 2 of 5

3 continue to work on migrating the information to a google drive where access can be granted and shared with future NFWC and SJCS members. Suzanne Nutschnig is rotating off the committee. From this point forward the new families will receive monthly s with school applicable updates and as in past years they will receive Thanksgiving cards expressing our gratitude for them being part of the SJCS family. 8:05 8:15 Art In A Box Lindsay Scott represented IAB and provided their updates; All boxes are 95% stocked and ready to go for the year, Art in the box review date for 4 th grade classes will be conducted in the classroom by Lindsey. Suzanne Nutschnig may be rotating off AIAB, additional clarification to follow. Suzanne Nutschnig Lindsay Scott 8:15 8:25 ivolunteer Set-Up.... provided the ivolunteer update; This year the new formats were easier to upload as thee was less information, however there are concerns regarding the lack of consistency in the type of requests that were made from class to class. This may be something we revisit and provide more clarification to room parents when making requests for ivounteer. Classroom volunteers will have till 9/16/16 to sign up on ivolunteer. All SJSPA events will be open on ivolunteer until 9/16/16 as well. NEW BUSINESS 8:25 8:35 Open House/Room Parent s (8/31/2016). Room parents received their classroom/activity fee checks from SJSPA to expedite this process and get the funds in the designated room parent s hands sooner. The SJSPA will be reimbursed by SJCS for the issued activity fees. 8:35 8:45 Sock Hop (9/23/2016)... Sock Hop updates were provided by Mary Gacs and Nicole wendt; as of 9/6/416 they have received 58 RSVP s, 33 confirmed volunteers and 4 high school students confirmed. The event still needs more volunteers to keep up with what they has last year in volunteerism to manage the event. Changes for this year s Sock Hop; Eliminated Twister, added a limbo line and ring toss game as stations. The Hula Hoop contest and dance contest will continue. A new coloring sheet was created by Mr. Abbate and will be going out in back pack mail this week. Mary Gacs Jenny Hulls Liz Hodge Nicole Wendt Salad has been eliminated as it was not consumed and wasted; we add cups with carrots & dressing and some without dressing. Faculty invitations have been sent out and we hope to have a great response as thee children enjoy seeing their teacher s at the event. Boys sunglasses or something else will be purchased this year for them, in the past the boys and girls received the same glasses. SJSPA Agenda 9/6/16 Page 3 of 5

4 The sock fundraiser will continue this year as well. We are on schedule and actually have an extra week planning this year. Tiffany Schiff did inform the group that the school now has 12 hula hoops sized for preschool/kindergartners and available for the Sock Hop as well. 8:45 8:55 5th/6th Grade Social (10/7/16)... No one from this event was present this evening, will follow up with the event owners. Jennifer Feldman, Julie Babat, Jodi Kristopher, Jolene Orris, Karen Gillespie, Anne DeFranco, Cynthia Lenihan, Jamily Rollins 8:55 9:15 Open Discussion.. brought the following 2 focuses for SJSPA to the group; 1.) To get a new Chair on every single event, it is important to continue to have new people on the committees and to ensure we are not burning out the existing volunteers on one event. 2.) Bi-laws as a parent association, the Archdiocese sent us their bi-laws as an example and we are reviewing and formulating our own bi-laws to go into effect school year 2017/2018. All in attendance The SJSPA PADS Dinner will be 3/18/2017 SJSPA s Dream list this year is to ask parents for fewer donations we have already begun to orchestrate this as demonstrated at this year s New Family Welcome Cocktail party. Christie Krupka FUNdraising Box Tops needs a new chair when a new chair is identified Christie will work with them to disseminate information. Scrip updates; YTD there are 23 active St Joe s families that are ordering 6 alumni or non-school users who are also contributing January to September total earnings were; $ Jun/Jul/August 2016 earning alone were; $ Christie is looking into Scrip card limits for particular vendors. The group also discussed the possibility of using scrip purchase cards for specific hot lunch vendors, and Christie Krupka will continue to run this to ground. brought the need for hot lunch volunteers to the group stating that Hot Lunch is in desperate need of volunteers. The program needs 60 volunteers for the program to function successfully, as of today they have about 30 volunteers confirmed. This is the hot lunch program which is a 6 week rotational program, if we are not able to secure additional volunteers for the program it may have to be discontinued next year. 5 Christie Krupka and Kimberly Fuscone brought the need to better understand clean up procedures for events hosted in the Koenig center. Kimberly Fuscone will run this to ground and provide an update to parents and SJSPA. Kimberly Fuscone brought the topic of assignment of duties to volunteers who present for events and the importance of acknowledging all volunteers there time and efforts by greeting volunteers upon arrival and having work responsibilities assigned to make the best use of our volunteer s time. This was concurred by and Mrs. Hein. brought the topic of migrating the SJSPA meeting agenda and meeting notes to google docs which can be disseminated the SJCS community and allow for real time updates during the SJSPA monthly meetings. Kimberly Fuscone will run this to ground in regards to building documents, gaining access to the parishes Wi-Fi and providing access to the google documents for SJSPA and the SJCS community. 9:15 9:20 Closing Prayer Heavenly Father as we come to the end of our time together we thank you for what has been accomplished here today. May the matters discussed serve as a catalyst to move us forward and cause us to advance and see growth in all areas of our lives.
