2 EANA ASC Minutes Sunday February 14, 2016 Page 2 of 7 Orientation of new members: 1 Chair Jen and I went to RBC and are now signing officers and I picked up the mail. On the website if we can include the address for the P.O. box. Vice Chair Nothing to report. Secretary I have received the minutes from November 2015 and I will be sending them to Seba to be posted on the website. Seba requested better communication for posting old and new minutes. EANA - New Year's Event Event (2016) Treasury Report Total Income: $96.05 from Drink Sales and 7th Tradition Expenses: Snacks: $48.15 Coffee, Tea and Cream: $24.50 Decorations: $15.25 Supplies: $38.70 ($126.60) Rent: $100 Total Expenses: $226.60

Daily Inventory Nothing to report. There hasn t been a set date for meeting and no one has reached out for involvement. If I had other members interested in participating I would set a date, but I will wait until other people want to be involved. Nixsy having the group by your home group and encouraging them to get involved and also getting people involved who are in your sponsorship group, can be helpful. Having a date and time to meet might encourage members to attend. -newsletter.eana.@gmail.com Hospitals & Institutions H&I Chair Report: Kathleen is continually moving forward in opening a new meeting. She has sent a letter to the facility, and we are waiting for a response. Once again, her work and effort is greatly appreciated. At our last business meeting, there was discussion about fundraising. We had a question to bring to area: If we do decide to organize a fundraising activity, and if there is still no activities chair, would we be able to ask for some funds from the activities account? This is currently just hypothetical. Open positions: Oka alternate (6 months) Foster s alternate (2 years) We are requesting $140 for gas reimbursements. Literature David as of today literature position is open. I will continue and do it until someone steps forward. Due to the fact that the literature is in the negative and I made a literature order with another member s credit card, I made the literature order out of my pocket and I was able to reimburse myself. Because of the report from Keith that we have to do large orders in order to get a rebate there will be some shortages with literature orders. You will have to wait 2-3 months for some of the orders. Please pass the meeting list around so we can get up to date changes on the website. (Discucssion about the money that was reimbursed) David C. - the literature order was $50.15 and I had money there from medallions so I got back almost 90$ I didn t want to put the extra cost on the committee so it s like a donation from me. Public Relations Jenn - So we continue the outreach project, which has slowed down, but we continue postering. The main thing I want to say is to remind people to think to get in touch with PR regarding changes that happen in meetings, like meeting closings, because that information should be on the website. For example, during the Christmas holidays. Seba yes all the information was on the website.
4 EANA ASC Minutes Sunday February 14, 2016 Page 4 of 7 Jenn so it s just a reminder to hear to continue, I m pleased to hear that is working out. We have this wonderful website up and running and we want to keep it up for date for new members. Next meeting Friday, March 4, 2016 at Conscious Contact location at 7pm. Nixsy at a CGEP they had meeting lists dated from 2012, maybe I could grab some and update that. I know that there are posters floating around that can be posted so hopefully GSR s are encouraging people to put them up. Jenn I have noticed that at some meetings they are just sitting out, they aren t meant for us, they are meant for community centres, CLSC s. It s a really great way to attract people to Narcotics Anonymous. (Discussion about the EANA website and the meetings that are and are not listed) Seba - I have a feature that you click Google maps and I just want to verify that the addresses are correct. Because I ve never been to that address, I m not sure it s accurate. Is there anyone that could take a look at that information to make sure it s up to date and if not please let me know. There is a way to communicate with me directly through the website by leaving a message on the site. Administrative Tasks: 15 minutes allotted to giving of donations, submitting motions, etc. The meeting was recalled at 11:05am. Quorum call: 14 members; quorum attained. The group read the Second Concept in the Twelve Concepts for NA Service. Elections Prior to elections, the Chair recites the Fourth Concept: Effective leadership is highly valued in Narcotics Anonymous. Leadership qualities should be carefully considered when selecting trusted servants. Position description will be read out once someone is nominated and seconded. However, descriptions can also be read out by request at any time. Open Positions at Area: Alternate Secretary - 2 years Alternate Treasurer - 3 years RCM 3 years RCMA 2 years Activities 2 years Guidelines 2 years Literature 2 years RCM Jasmyn - nominated himself. Will have the clean time on March 2. Nixsy at the end of March is the next Region, so you will have the clean time by then. Why do you want to do this? Jasmyn- I ve been interested in RCM for a long time and I know it s needed and I m looking for something that s more challenging. I do service at the group level, I m treasurer at 2 meetings (one meeting in the English side one in the French). Nixsy the region takes place every other month, so 6 times a year and it s a full weekend. It s basically brining any of the news discussed there that s pertinent to EANA, it carrying EANA s vote back. In terms of what they re asking for before you bring in information you would be that link between our area and the region. Jasmyn so EANA is a full voice. Nixsy Absolutely. (GUIDELINES: (outdated) Area Service Representative: The responsibilities of the ASR will be to: a) Maintain active two-way communication between the ASC and the CSRQNA by providing written and oral reports on each other s projects, progress and problems, as outlined in Section 16.4 of these guidelines b) Attend all CSRQNA service committee meetings. c) Provide EANA with an agenda for all upcoming RSC meetings, when available, for review and input. d) Provide EANA with the WSC agenda report and may present it to the groups in a workshop forum (in conjunction with the Administrative Committee). e) Provide EANA with WSC reports. f) Be bilingual (French/English).) Nixsy you re okay with doing written reports and sending them in? You would be responsible for taking pertinent information for EANA and translating it into English for EANA. Jasmyn yes. (Nixsy and Jasmyn discuss the budget for translation, structure of the report, workshops and presentations, length of the position) Jeff Have you ever given up a service position? Jasmyn Yes I have given up a few actually. Nixsy Have you ever misappropriated NA funds? Jasmyn No. Lucille I was RCM for a while and it s easy, you just have to show up. (Nixsy and Jasmyn discuss more responsibilities of the RCM and more detailed information about the link between World, Region and EANA). Jasmyn is elected.

Adriana I served on Activities for 2014 and was the Secretary. I helped organize the first Unity Day and I played a pretty major part in the fundraising. I m currently treasurer at the group level and I have almost 3 years clean. Jen P - Have you ever misappropriated NA funds? Adriana No. Lucille have you fulfilled your service commitments? Adriana I have not, I had to give up a commitment before because of school and work, but now that I just work I have the time to commit to this. Nixsy are you aware of the mandated activities? Adriana Unity Day, Halloween/EANA anniversary and New Years Eve. GUIDELINES (outdated) (Adriana and Nixsy discuss how to organize a meeting time and place as well as how to change the information on the meeting list and website. More questions are asked about getting a hold of old activities information like budget) Adriana is elected. Literature Chair Jen P nominates Ariel Ariel my current clean time is 2 years and 8 months. Nixsy why are you interested in fulfilling the position? Ariel since I came to NA the challenge of having literature available when people need it is very dear to me and I hope that I can contribute. I really do care about that very much. I have some experience doing service and I m mobile. Nixsy have you ever mismanaged or misappropriate NA funds? Ariel no. Jeff have you ever given up a position? Ariel yes I was Area Treasurer at one point and I had to give it up. Jeff have you ever fulfilled a position? Ariel yes, many. David C. do you have space for the big box that I will have to give you? Ariel yes. Jen P do you have a credit card? Ariel yes I do. Nixsy are you familiar at all with how the position works in terms of how to take in orders? Ariel yes, somewhat. (Nixsy asks if David C. and Keith could help explain this position to Ariel, as well as more information about the specific computer tasks involved with this position, and the creation of new guidelines) David C the literature subcommittee chair is supposed to attend the regional meetings, are you able to do that? Ariel I don t think I can do that for the whole weekend, but I can talk to Jasmyn if there is any relevant information that affects literature. (Nixsy suggests that Ariel talks to Jasmyn or someone from Region about how to order literature without losing so much money, with the current exchange rate). Ariel is elected. Old Business No old business. Kathleen in the New Years Event report I was off by $40 because we didn t spend it. We had an issue because we had a lot of support at the event, in terms of planning and organizing it was just Nixsy and I bought all of the decorations and we were unable to get a lift. I ended up taking a taxy and paid $37.82 out of pocket. I would like to be reimbursed for that. Jen P for the future should we have a separate vote for this? Benjamin - I think in the future we will deal directly with activities and this won t have to do with area. Jen P - so this is activities money? Nixsy correct. New Business 1. Seba asked to come up with an amount I m asking for $80 for the web posting. Nixsy that s a PR thing, did you ask PR? Seba yes and they told me to ask you. Nixsy are you okay with putting that with New Business? Seba yes 2. Seba one of the ideas was to have the website have it s own committee separate from PR. Nixsy I would like to put that on the table because it sounds like a big proposition are you able to attend the next PR subcommittee meeting? March 4 at 6:30pm at the Sun Youth on St. Urbain. Lucille would that be a group level vote or admin? Nixsy that would have to be done at the area table, which the GSR s would bring back.

Jackson - I have come here with a need for guidance for the group. We have had a conflict that is outside of our meeting brought to our meeting we re not sure if our Secretary is going to continue doing his duties but we don t know whether or not we want him to continue his service position regardless. Nixsy with reference to the 12 Traditions: Tradition #2. Try to make a decision on whether or not this is the healthiest decision for the group. If there are any other groups willing to attend the business meeting to help. Jackson so the best thing to do is to hold a group conscience. Nixsy yes. We can encourage people to attend that meeting. Lucille does that fall under the Vice Chair s responsibilities to go to that meeting and assure that guidelines are followed? Nixsy are you able to do that? 6pm on Marlow. Benjamin Yes.
