5 CONFERENCES Winter - March 8, 2019 Fall - September 27, 2019 The Conference Center at OCLC Dublin, Ohio - page 5 - Attendee Demographics Approximately 120 medical practice executives from across the state convene bi-annually for conferences. Titles which make up our conference roster include medical group administrators, executives, managers, health administration students and faculty. The meeting is not too big to be impersonal, but plenty big to provide numerous, quality leads. attendees are looking to be introduced to new products, services, and technologies in our Exhibit Hall. Will you be there, too? Networking While the meeting will be packed with educational and entertaining presentations, the on-site meal functions and networking breaks provide an opportunity for attendees to catch-up with colleagues and make new connections. There will be one breakfast and two networking breaks which will be held inside the exhibit hall. Additional networking opportunities outside the exhibit hall include lunch. Exhibitors are encouraged to attend sessions with our conference attendees for your own professional development and additional networking time. 6 Conference Sponsor and Exhibitor Terms, Conditions and Policies - page 6 - Statement of agreement: By sending in payment and the commitment form, your organization and all organization representatives agree to comply with the Exhibitor and Sponsor Terms and Conditions as provided by host association and/or conference management. Your organization understands that exhibit booths and sponsorships have been assigned on a first-come, first-served basis, submitted with payment in full. Priority for booth placement is given to sponsors first. Your organization understands that host association and/or conference management reserves the right to remove or refuse any registered organization or exhibit personnel from the conference venue(s) or any event associated with the conference, for failure to act in a professional or responsible manner at the sole discretion of host association and/or conference management, or deemed to be out of compliance with our guidelines and policies. Host Association and Conference Management reserve the right to restrict exhibits, without refund, that have been falsely submitted, and to terminate an agreement if payment is not received within 21 days of receipt of registration or commitment form or by the opening day of the conference. Exhibitors are responsible for shipping, storage, and installation of exhibit materials and all costs involved thereby. Host Association and Conference Management do not guarantee against theft, vandalism or otherwise. It is expressly understood that host Association and Conference Management will not pay for special equipment, facilities and services ordered by exhibitors outside the scope of this exhibit agreement. Distribution of literature, samples, etc. in the exhibit area by organizations not participating as registered exhibitors is strictly prohibited. Please notify show management if you should witness unauthorized solicitation. It is understood that all exhibitor representatives will maintain professional behavior throughout the conference including all meals, sessions, breaks and social activities. Host Association and Conference Management reserves the right to expel or refuse admittance to any Exhibitor or booth personnel whose conduct is, at Host Association and Conference Management s sole discretion, not in keeping with the character and/or spirit of the Conference. Solicitations or demonstrations by exhibitors must be confined within the bounds of their respective booth(s). Exhibitors are not allowed to distribute literature or items of any kind outside their assigned booth(s). Aisle space shall not be used for exhibit purposes. Display signs and displays are prohibited in any of the public space or elsewhere on the premises of the conference and lodging facilities. No exhibitor shall sublet, assign, or share its exhibit space with another company or individual. Exhibitor representatives must be employees or designated agents of the exhibiting company. Exhibitor representatives may not represent companies other than the company contracting for the exhibit space. Social activities sponsored by an exhibitor that might conflict with the conference schedule must be cleared with host association and conference management. Electronic and other apparatus must be operated so that the noise will not interfere with other exhibitors. No musical presentations are allowed, live or mechanical, without the written authorization of conference management. All display materials and decorations must comply with requirements of the local fire authorities and the National Board of Fire Underwriters. Display fabrics must be non-flammable. Exhibitors must purchase food and beverage from the conference hotel or conference venue catering division for distribution. (Small candies & water bottles excluded.) Exhibitors must comply with the terms of the catering division contract. Care must be taken by the exhibitor not to deface or destroy any part of the exhibit area. In the event of property damage caused by him/her, the exhibiting organization will be held responsible. Use of the name Ohio Medical Group Management Association, or or that of any officer of said association, in recommendation or endorsement of a product or service, is expressly prohibited. Animals or pets, with the exception of ADA Service Animals, are not permitted at these events. Cancellation Policy: A cancellation fee of $300 per booth will be charged to Exhibitors who cancel 45 days prior to the start date of any conference or event. Cancellations 45 days or less from the start date, failure to occupy space or failure to meet artwork submission deadlines as set by obligates the Exhibitor to full payment. No refunds will be given on conference sponsorships after production begins. Ohio MGMA reserves the right to re-sell cancelled booth space. Written notice is required to cancel booth space.
