1 General provisions for the TiU Sports Center s sports program What do we understand under sports program? All the sports activities of the TiU Sports Center that is open to anyone with a sports membership card. General provisions and adjustments by sports year The sports center has run a sports program since Years of experience has given it a strong foundation which gradually changes over time. Initially, the program mainly consisted of team sports, but over time, individual sports (tennis, badminton and subsequently table tennis and squash), group sports (aerobics and dance) and all sorts of other sports (athletics, swimming, skating, outdoor sports etc.) were added. Many sports have gained a permanent place on the sports program. Similarly, a protocol was gradually developed which divided the resources (facilities and budget) among all the sports practitioners as fairly as possible. Protocol An annual meeting is held with the student sports associations in which the sports program of the previous year is evaluated and their desires and plans for the next few years are discussed. An annual meeting is held with the trainers of the sports center, which also evaluates the previous year and looks forward to the expectations of the next year. Given their specialized knowledge, we expect a proactive contribution from all our trainers. The general provisions and the annual adjustments are written by the sports manager and are discussed with FOSST and the sports center s MT. The final provisions for the sports program are approved by the sports center s MT. The scheduling is based on the sports program. This allows the MT to ensure transparency, which we consider very important. The schedule is compiled taking the following criteria into account. The sports program. The possibilities afforded by the accommodation. The available trainers and the availability of the trainers. The budget. Each criterion is important and the provisions for the sports program are compiled to avoid disputes about the schedule. The other three criteria can be both opportunities as well as limitations. Who does the sports program serve? Students of Tilburg University, Fontys and Avans. Staff of Tilburg University and Fontys. 1

2 While we give most consideration to the largest group of users the students their requirements and those of the staff often overlap. Staff joining the program are subject to the same conditions of safety, numbers and level. We also have a separate schedule for staff members. 2

3 Our options All-in sports membership card We want students to be able to try several different sports during their student life, and to be able to practice their preferred sport at their individual level. Staff too can try different sports and choose the sports that best fit their lifestyles. An all-in sports membership card lets members do all the lessons on the sports program. This may be limited if: the member does not yet have the right level; the lessons that require signing up in advance are full; safety considerations require first doing an introduction course. This is clearly indicated if relevant. We try to offer a wide range of sporting activities. The relevant criteria for inclusion of a sport is that it must be a recognized student sport and that the schedule remains clear. What we mean by the latter is that main groups are clearly divided and that there is the opportunity to join as a beginner and progress to higher levels. Because we want to offer several different sports, we will avoid offering a very wide range of dance and aerobics that are largely similar. Team sports The Netherlands is strong on team sports and has a very distinctive sports club culture. We believe that team sports are important for students because of their social character. Meeting other people, collaboration and character building are important for young people. Team sports let students and staff meet and have a continued relationship. For international students, it is an easy way to quickly integrate into the student population. Sports that are represented by a student sports association have an important voice in the sports program. In the annual meetings, student representatives learn to manage and to advocate in the interest of their sport at the sports center. This complements the strategic plan in which we say that the sports center is for students by students. The student sports associations also have the opportunity to run sports activities exclusively for their members (organizational skills, collaboration and doing sports together). Individual sports Individual sports too are character building and thus important for students. While we encourage doing sports together, it is sometimes welcoming to do something by yourself, to push your boundaries or do something purely for yourself. It also involves learning to take responsibility for your own progress. Group sports Group sports include aerobics, dance, crossfit, boot camp, boxing fitness, yoga and pilates. These can be done individually at one s own level while still in a group. They can be done to become fit, for relaxation or simply for fun. Fitness The sports center has long opening hours during which students can use the center for sports, ask for timetables and do fitness with a trainer. We promote an active and healthy lifestyle through information, nutritional advice and demonstrably doing what we say we do. 3

4 Courses We run courses for activities that require more than just one lesson. Examples include safe climbing, self-defense for women and some dance styles. Virtual lessons These lessons are given at times that fall outside the schedule or for small groups. Free sports What we mean by free sports is the opportunity for members to reserve a hall or court to practice their sport independently. Levels Beginners may join each sport. Depending on numbers and abilities, we offer sports at different levels. Our facilities are such that even top athletes can train here (with the exception of the sports that are not included in our program). The sports center does not determine the level at which its members train. The student sports associations themselves drive the level and if they perform at a high level, they may be supported by the FOSST. An association s board is responsible for demonstrating that it also wants to train at a high level. The sports center would be pleased to play a facilitating role should it be feasible (talent, suitability for students, budget etc.) for an association to train at a high level. 4

5 Activities at the sports center that the sports schedule takes into consideration FOSST events FOSST is entitled to use the facilities for events four times a year. The following conditions apply. The event must contribute to student sports in Tilburg. The events are included in FOSST s annual events calendar. Up to four events evenly spread from Monday to Thursday. FOSST submits the dates before March 1 of the calendar year preceding the year in question to the sports center. This is when the annual schedule is fixed. Reservations will not be accepted without a sound plan. The halls need to be reserved and confirmed three weeks before the intended date. This is to allow us to check the continuity of other lessons. Clinics FOSST runs clinics for which it has created its own terms and conditions. See FOSST s regulations. Rental of facilities to third parties The sports center needs the income from rental to cover its budget. Its own sports schedule is given priority from 16:00-22:30 Monday through Thursday. The facilities can be rented outside these times. While we prefer to rent the facilities for sporting activities, they can also be rented for examinations. 5

6 What else do we take into account? Our prime time is 16:00-22:30 Monday through Thursday and is intended in the first place for team sports. We understand that evening lectures, internships and exams may clash with these times, but we are unfortunately not able to take these into account when planning team sports training. We always plan team sports within prime time. Classes requiring music are never planned in the same room as another lesson that also requires music. Lessons requiring a quiet environment for instruction or concentration are never held next to a lesson with music or other sound. We try to plan all the lessons in the sports center or in the outdoor facilities. We view T-Kwadraat fitness and any lessons held in T-Kwadraat s sports areas as semi-internal. Even lessons on campus are semi-internal. We outsource any sports that we are unable to provide ourselves if the budget and logistics allow. We strive to be flexible and transparent for our users. We will not change the sports schedule unless there are pressing reasons to do so. Student sports associations that request a change to the sports schedule are required to submit their request three weeks in advance. We do not guarantee being able to meet their requests. Practice matches, competitions and clinics may only be held during lesson times in exceptional cases. Condition: submit a request to the sports manager at least three weeks in advance; and find other options for the members who are not in the team but regularly train with the team. Situations can always arise whereby lessons are cancelled. That said, our cancellation rate is less than 1% and we wish to keep this rate low. Groups may do a sport themselves without the trainer as long as it is safe. Clear sharing of facilities We strive to make best use of the facilities and to share them as equally as possible. The following decisions are based on the different sports; the different requirements and demands; the available space; and the required equipment. The top division teams of the team sports train twice a week, of which once is at the most convenient time and once is on the competition field (e.g. team 1 men s basketball on Center Court). If a student sports association s board can demonstrate that its team 2 is competitive and plays at a sufficiently high level (i.e. at least at the level of regional competitions), it may request a second training slot for this team (no guarantee). The duration of training is equivalent to the match duration. When planning, consideration is given to the play-rest ratio as far as possible. For example, match on Sunday, training on Tuesday; one rest day between two training days. Sports that require the entire sports hall for competition training (korfball, handball, team 1 men s basketball) have a whole hall once a week and half the hall once a week. 6

The relevant association determines the minimum requirements. We strive to exceed the requirements of the association. Team sports The sports center is keen to train students to become trainers, where possible through official training approved by the relevant sports association. Students interested in becoming trainers need to follow this route. 1. Club trainer. 2. Student trainer with support from sports coordinator. 3. Trainee student trainer (internal or external T2 course) 4. In exceptional cases, we offer students a T3 course. We take qualified trainers (skills trainer and seniors) for the other sports. These trainers are responsible for maintaining their skills at the relevant level. We will monitor this from club trainer to junior trainer. The sports center provides all recommended internal training for all trainers. This training may be sportspecific and cross different sports. Important: trainers must be suitable for student sports and be loyal to the sports center. Coaches: In principle, the sports center does not facilitate coaches. During the annual provisions review we consider facilitating a coach. 7

8 Supplementary provisions The popularity of the sports center Even though the sports center is becoming ever more popular for which we are very happy and we see it as a compliment and a challenge and is generating a higher income from the membership fees, the fees nevertheless do not cover the costs of each member. We have expanded our accommodation dramatically in recent years and this has increased the operational costs. The budget may not keep pace and it may even decrease. These considerations will be taken into account when planning the 2018/2019 sports program. We will need to underpin our decisions even better. Fitness T-Kwadraat Fitness T-Kwadraat is an excellent addition to the program. It relieves the pressure on the main location and offers more opportunities to train with free weights and give lessons such as crossfit training. We still need to see if operating the T-Kwadraat will still fit the budget in the academic year. Periodization (dividing into periods) DMS is a useful management tool to organize the schedule more easily. It is very important that the ticket system and the random checks work well. The trainers and the desk staff play an important role in this. The peak lessons are between September and November and February and May. Exams are often held in December, January and June. This is clearly visible in the lower numbers of people attending lessons. This is a great pity as research shows that students study better if they continue to do sports. We will start a winter and June schedule this year, delivering customized service during these periods. Outdoor sports will have a winter break, while during the holiday period (July and August) the sports center s fitness facilities can be used, virtual lessons will continue and the other spaces can be reserved for free choice sports. Annual schedule We compile a new annual schedule every year. The colors in the schedule show its progress. We try to adhere to the agreements made. The schedule is an aid to maintain an umbrella view of the whole year an. The schedule at a given time is leading and is thus often referred to. Replacement cardio equipment and new fitness app The cardio equipment in the fitness areas of the sports center will be replaced. The new equipment should be installed by August The new equipment and the planned fitness app prepares us well for the future. Fitness is a relatively new sport that has many different forms and is highly innovative. We are therefore trying to stay ahead of this evolving sport. FOSST s extra outdoor sports activities For the next academic year, FOSST may organize one additional outdoor sports activity at the outdoor facility. This is subject to the same terms and conditions as stipulated in the general provisions. As an exception, FOSST may inform the sports center of the date before August 1 st,

10 Aspirations of the student sports associations and coaching As stated in the general provisions, the associations may choose to do a wide variety of sports or concentrate on doing fewer sports at a high level. High level sports at the moment are not feasible for us and none of the associations have prioritized it. Practicing sports at a high level would have a number of consequences for the sports center. 1. The number of training hours will need to be extended (additional training for a second team is sometimes necessary). 2. The trainers themselves need to both want it and have the ability to train at this level (fine in most cases). 3. A trainer/coach is desirable. Some of the preconditions are already in place. 1. A fitness area with highly qualified instructors that can bring the members in every sport to a higher level. 2. A physiotherapist who can quickly make an initial assessment in case of injuries. 3. The equipment and facilities are in place and in good order. Student sports associations that aspire to perform at higher levels need to have their own organization in order. They need a future vision outlined in a five-year plan and need to have taken the first phase (attendance at training, aspirations among players, talent). The next step is to work out an annual plan and a presentation for the annual meeting (a separate meeting can of course be called). Once all these preconditions have been met, the sports center would be pleased to help the associations attain their goals. Limiting factors for the sports center could be a lack of space and/or budget. This is why the fiveyear plan is so important and allows the sports center to foresee what is needed in time. Reserved time for student sports associations A student sports association can submit a request for time or an evening for the association. The sport is then only accessible for members of that particular association. Sports center membership is of course mandatory for the sports participants. Only when the whole schedule is ready will we plan the association s time. It is not that we do not deem the associations important, but because we prioritize the lessons. Dance For the last five years, DanceNation has performed an end-of-year show to show the broad public what it has done in the last sports year. As the dancers need to practise, and it is naturally not mandatory for students to take part in the end-of-year show, we took the decision last year to make the lessons private. During this period, we will schedule four extra lessons for students who are not taking part in the end-of-year show. If space and budget allow, DanceNation may again submit a request this year. Tennis competition training We offer TSTV Lacoste the opportunity to reserve places in the sports center s scheduled tennis lessons to prepare for the competition. The technical committee submits the teams that want to take the special competition training four weeks before the competition starts. These teams must be made known before the tennis training starts after the winter break. Barring emergency situations, the participants are expected to attend every training session. 10

11 Virtual lessons At times when hall 3 is not being used for scheduled sports, it is available for the following uses. 1. Virtual lessons run by the sports center. 2. It can be reserved by members who want to do virtual lessons themselves. 3. It can be rented by external parties. New sports We are always looking for new sports that are a good addition to the center s sports program. FOSST organises clinics and, if there is enough interest, we can organise these in short courses. Should there be a large group of enthusiastic people who want to continue these activities, we can include them in the program (under certain conditions). There are several different lessons in dance and aerobics. Because of this, we included Dance Styles in our program in which the dance style is regularly changed. In aerobics we closely follow trends and try to include new things in the sports center. Relaxation sports are becoming more important in our fast paced, competitive society. We already offer yoga and pilates, but will expand this to include Mindfulness and other body & mind lessons. Staff sports We make a separate schedule for staff every year where only staff who are gym members may join. In collaboration with the coordinator of staff sports, we strive to deliver customization. One example is that fitness 1 is exclusively reserved for personnel. Training of trainers As mentioned in the plan above, we take the training of our trainers very seriously. We will again run internal courses this year. One way in which we will support the lessons is by filming them and discussing them. We will also look at heart rate training. While this type of training needs the right aids, it also requires training of trainers. 11

If a trainer has fewer than the minimum number of participants for two consecutive weeks, he/she must inform the sports coordinator. The sports coordinator then tries to find the reason for the low numbers, calling in help if necessary to increase the number of participants. There may be many causes bad weather, examination period, too little PR etc. But it could also point to decreasing interest or too many replacement trainers. If the numbers remain low, we may replace the lesson with another. 13
