1 Minutes, New Leaf Market Board of Directors Meeting, Aug 26, 2013 New Leaf Market Meeting Room, 1235 Apalachee Pkwy, Tallahassee, FL SUMMARY Meeting Decisions/Assignments The minutes from July 29, 2013 were approved with no corrections The board approved the following reports: Newsletter articles are due Sept 1 The next meeting with Thane will be at Jim s office on Wed Sept 18@ Noon. Candidate Forums - Oct 9 and 23 7 candidates declare their candidacy 2 winners were chosen for the Community Fund Grant o Pace school growing produce for school families and the community. o Ken David at Godby High School - Aquaponics Wendy will call the winners by Sept 2 nd, Madelon and Dave are drafting an to let the other applicants know that they were not chosen for the grant this year, and thank them for their submissions. 1

Heidi Fox, BOD Facilitator Ashley Arrington, Recording Secretary Absent: Sue Hansen, Director; Hugh Boyter, Director Introductions: All in attendance gave brief introductions. Owners Forum: None Agenda Review: NO round table after this meeting Minutes Approval: The minutes from July 29, 2013 were approved with no corrections. President s Report: Jim Terrell Jim passed around a card from Sue thanking the board for their condolences. The Staff was extremely appreciative of their bonus. I encountered many happy employees with great stories. General Manager Report: We had a staff meeting on Saturday. We reviewed the financial reports, and worked on customer service skills. Each staff member left with a goodie-bag that included their bonus check. Board Decisions: GM PG Reports Larrane Hartridge s report dated August 26, 2013 asserted in 2

Jim would like the board to look at section B. We really don t do things the way the policy states. Dave 1d needs to be pitched. We can discuss it further at the retreat Jim I don t like 2b(v) either. Madelon I propose that we vote now to delete those two items. Approved Board Discussions: Board In-Box o We received an SOS from a coop in Orlando. They are in debt and had their board resign. We have never had any interaction with this store before. Communications June o There is a new bulletin board with new pictures. o Newsletter articles are due Sept 1 Wendy wrote a small article on the grant winners. o Larrane recommended writing another article for a later issue of the newsletter, explaining more about the Community Fund. Thane Conversation Jim o The next meeting with Thane will be at Jim s office on Wed Sept 18@ Noon. Co-op Ambassador June o I would like to meet with the committee to decide on the next step. Do we want to go to the state level, or continue meeting local commissioners? o Jim I would like to discuss this further at the retreat. Education Maria o We didn t meet this month. There are still 3 items pending. We will wait until next month to address these. Elections Dave o We had 7 candidates declare their candidacy. We have statements and photos. o We have completed the interviews. o Next year we will make sure that the booklet clearly states that candidate statements have a 250 word limit. Many candidates were asked to resubmit their statements because they were too long. o Candidate Forums - Oct 9 and 23 3

4 o Hugh wrote a great article on elections for the newsletter. o Elections will be discussed further during the closed session Community Fund Committee o We have 2 winners. o 17 grant applications were reviewed. o The 2 winners were, by chance, schools. Aquaponics Both winners teach children with special needs. o Wendy will call the winners by Sept 2 nd, o Madelon and Dave are drafting an to let the other applicants know that they were not chosen for the grant this year, and thank them for their submissions. Madelon and Dave will be responsible for sending s. o Wendy would love to serve on this committee again next year. Retreat - Jim o We need to start thinking about discussion items for the retreat. How do we let people know they can donate their patronage rebate to the grants? Ambassador committee Community fund guidelines o Do we want to have a mini-retreat? o I would like Thane to do away with the games. I feel like it s a waste of our time. We have so much fun with each other without the games. Madelon the games could be useful if we have 3 new people on the board.
