8 Joint Meeting Industry Workshops Sponsoring an Industry Workshop allows you to contribute to the overall value of the Joint Meeting s educational programs and increase awareness of your company s resources and service offerings. Industry Workshops will take place on Wednesday, April 25th. REQUIREMENTS Under most circumstances, it is expected that the workshop provider will be an exhibitor at the 2018 Joint Meeting. Companies can submit applications for multiple workshops; however, only one application will be accepted for presentation unless additional space is available (space limitations require this restriction). SELECTION CRITERIA Industry Workshops are intended to educate Joint Meeting attendees on subjects such as customer implementation of new products or technical presentations on new methods and products. The sessions must be educational in nature and should not be used as a sales or marketing opportunity. Selection criteria for all workshops include educational content, relevance, duplication with scheduled Joint Meeting sessions and application date. 10 Agreement Terms & Conditions The CBBS/SCABB Joint Meeting and Exhibit Show is a forum that offers your company the perfect environment to develop relationships with a highly targeted audience of blood banking, transfusion medicine and cellular therapy health care professionals. The 2018 Joint Meeting & Exhibit Show will bring together members and supporters to experience this outstanding education, resource and networking forum. We look forward to your participation and to seeing you in Arizona! BOOTH ASSIGNMENTS An Exhibit Hall floor plan will be available online. Please select your booth space from the layout, listing your top three choices. Exhibit space will be assigned in the order of receipt of agreement with special consideration given first to DIAMOND Level, second to PLATINUM Level, third to GOLD and finally to SILVER Level. If there is a conflict, the vendor partner with the longest history of continuous support of the associations will be given priority if the request is received by the deadline for contracts February 27, The Joint Meeting Final Program will include a brief description of services offered by the exhibitor. To guarantee inclusion in the final program, the description must accompany the contract and arrive by the contract deadline. BOOTH SPECIFICATIONS Booth spaces are 10 x10, furnished with 6 back drapes and 3 side drapes, a 7 x 44 identification sign, a wastebasket and one draped and skirted table. Exhibitors may order at their own expense, furnishings, utility connections and other services using order forms that will be provided by the General Service Contractor in the Exhibitor s Service Kit. No walls, partitions, decorations, or other obstructions may be erected which in any way interfere with the view of any other Exhibit. No Exhibit will be permitted to span any aisle with ceiling or floor covering. Please note: The exhibit hall is fully carpeted. EXHIBITOR SERVICES An Exhibitor s Service Kit will be sent to all exhibiting companies by the General Service Contractor in March The kit will contain complete information on show rules and regulations, installation and dismantling of exhibits, and exhibitor services such as carpentry, drayage, signs, carpet, furniture rental, utility services and cleaning. The kit will also include other valuable information to assist you in preparing for the show. There will be an exhibit service area in the exhibit hall to process on-site orders for services. MATERIAL HANDLING Exhibiting Sponsor material is handled through the General Service Contractor. Complete shipping instructions will be included in the Exhibitor s Service Kit. EXHIBIT HOURS Exhibit hours are scheduled to maximize the time exhibitors have with Joint Meeting attendees. The Exhibit Hall will not be open during educational sessions. We do this to (1) encourage and focus on attendance in those sessions and (2) to make sure when the Exhibit Hall is open, there are no Joint Meeting activities that might decrease attendance in the Exhibit Hall. We also welcome our s to attend the educational sessions. ACCEPTABILITY OF EXHIBIT MATERIALS The Joint Meeting reserves the right to deny space to any company whose representation is objectionable to either Association. 10 INSTALLATION AND DISMANTLE The exhibit hall will be available for exhibitor setup as outlined in this prospectus. The Joint Meeting Management reserves the right to assign labor to set up any exhibit that is not in the process of being installed by 3:00 pm Wednesday, April 25. The charge for this labor will be paid by the exhibitor. The show General Service Contractor will be available to install and dismantle exhibits. Joint Meeting Management allows exhibiting sponsors to appoint firms other than the General Service Contractor, as long as these firms conform to the Joint Meeting regulations and do not disrupt the orderly installation and dismantling of the exhibition. The Joint Meeting does not hire any laborers. There are certain exclusive contractors with specific responsibilities for services such as electrical, drayage, plumbing and cleaning with whom exhibitors must contract. Anyone contracting for services other than with the Joint Meeting General Service Contractor must give written notice to the General Service Contractor with a copy to the Joint Meeting Management 30 days prior to the show. In the sole opinion of the Joint Meeting, if the exhibitors appointed contractor work performance disrupts the orderly installation or dismantling of the exhibition, such firms will be immediately disqualified from working at the exhibition site and will be removed from the hall. INSURANCE LIABILITY If the exhibitor wishes to insure its property, it must be done so at the exhibitor s expense. Exhibitors are advised to have a representative present at all times. The Exhibit Hall will be locked during non-show hours. The Joint Meeting will not be responsible for any damage or loss of exhibitors property from fire, theft, water or any other cause. The Joint Meeting Management will do all in its power to protect the property against such loss. It is expressly understood that by signing the Exhibiting Sponsor Agreement the exhibitor agrees to accept the rules stated herein and will make no claim of any kind against the Joint Meeting Management or any of its officers, agents, servants or employees. Exhibitor shall be fully responsible to pay for any and all damages to property owned by the Renaissance Glendale Hotel, its owners or managers which results from any act or omission of exhibitor. Exhibitor agrees to defend, indemnify and hold harmless Joint Meeting Management, Renaissance Glendale Hotel, its owners, managers, officers or directors, agents, employees, subsidiaries and affiliates from any damages or charges resulting from exhibitor s use of property. Exhibitor s liability shall include all losses, costs, damages or expenses arising from or out of or by reason of any accident or bodily injury or other occurrences to any person or person, including the exhibitor, its agents, employees and business invitees which arise from or out of the exhibitor s occupancy and use of the exhibition premises, Renaissance Glendale Hotel or any part thereof. DEMONSTRATIONS Adequate space should be available within the confines of the individual exhibitor s booth for demonstrations. Infringement on other exhibit booths or interference with normal traffic flow is not permitted. EXHIBIT AREA REQUIREMENTS All exhibitors are required to wear their exhibitor badges during all show hours. Exhibitor personnel are required to keep equipment, merchandise and promotional or advertising materials within the confines of the exhibit space contracted. Solicitation in the exhibit hall by persons other than exhibitor personnel is prohibited. Persons conducting unauthorized solicitations will be expelled from the hall. There will be no exceptions. 11 Agreement Terms & Conditions COPYRIGHT LAWS Copyright laws forbid the playing of music in any form at the Joint Meeting without paying a fee to, or obtaining the permission of, the composer. Any exhibitor providing music in an exhibit booth or hospitality/social event is responsible for obtaining the appropriate music licensing for such activities. FIRE REGULATIONS All materials used in the exhibit hall must be non-flammable to conform to the Fire Regulations of the city. Electrical wiring and equipment installation must conform to appropriate city codes. Material not conforming to such regulations will be removed immediately at the exhibitor s expense. INFECTIOUS OR DANGEROUS MATERIALS No exhibitor shall display or bring onto the premises any substance or material which is bio-hazardous, infectious or dangerous to the health, safety or well-being of attendees. GENERAL CONDUCT The Exhibitor is permitted to demonstrate the firm s equipment and to make formal presentations regarding the product line or service in the booth. Hard sell sales tactics are considered inappropriate. Attention getting devices in the form of entertainment or amusement are strictly prohibited. The exhibit hall must be staffed during all open hours. Packing of equipment materials or the exhibit cannot begin until after 12:30 pm on Friday, April 27th. The strike schedule is strictly enforced. EXHIBITOR PARTICIPATION Exhibitors are encouraged to attend the educational programs offered at the Joint Meeting. Registration is complimentary as outlined in the Exhibitor & Sponsor Prospectus Detail. Registration includes educational sessions and social functions of the meeting. ATTIRE Attire for attendees and exhibitors is business casual. NON-CONTRACTED EXHIBIT SPACE (SUITCASING) Please note that while all meeting attendees are invited to the showcase, any attendee who is observed to be soliciting business in the aisles or other public spaces, in another company s booth, or in violation of any portion of the Exhibition Policy, will be asked to leave immediately. Additional penalties may be applied. Please report any violations you may observe to Show Management. Show Management recognizes that suitcasing may also take the form of commercial activity conducted from a hotel guest room or hospitality suite; a restaurant, club, or any other public place of assembly. For the purposes of this policy, suitcasing violations may occur at venues other than the exhibition floor and at other events. Show Management must be informed of any hospitality suites, and expressed consent must be received prior to the event. CANCELLATION & REFUND POLICY All cancellations must be made in writing to Joint Meeting Management. A cancellation fee of 50% of exhibitor fee will be assessed for all cancellations received prior to February 27, Cancellations after February 27, 2018 will receive no refund. Any refunds due to an exhibitor as a result of cancellation will be made within 30 days post show. MEETING CANCELLATION It is mutually agreed that, in the event of cancellation of the Joint Meeting due to fire, strikes, government regulations or causes that would prevent its scheduled opening or continuance, then and there upon this agreement shall be terminated. The Joint Meeting Steering Committee shall determine an equitable basis for the refund of such portion of the exhibitor fees as is possible after consideration of expenditures and commitments already made. HOSPITALITY SUITES/CLASSES/VENDOR DEMONSTRATIONS Hospitality suites must be approved by the Joint Meeting Management. Vendor demonstrations and/or classes must be presented in the forum of Industry Workshops. See the Exhibitor & Sponsor Prospectus Detail for specifics on hosting an Industry Workshop. All other demonstrations and/or classes are prohibited. EXHIBITOR IN-BOOTH DRAWINGS Exhibitors may hold individual drawings for items within their booth space. The Joint Meeting is not responsible for promoting the individual booth giveaways. The Joint Meeting Exhibits Committee will facilitate an "Exhibit Traffic Plan" activity that will assure more than adequate traffic at each Exhibitor s booth. Details will be included in your Exhibitor Services Kit. EXHIBITOR FEEDBACK MEETING The Exhibitor Feedback meeting will be held on Friday, April 27th from 1:00 pm 1:30 pm. Attendance is limited to one (1) representative per exhibiting company. The purpose of this forum is first, to thank the exhibitors for their participation and second, to share ideas for improving future meetings. BOOTH PERSONNEL REGISTRATION Exhibitors are encouraged to register personnel in advance using the appropriate forms. This allows Joint Meeting Management to mail meeting information directly to those who will be working the show.
