1 Welcome The meeting started off with a welcome from our new Relay Chair Kathy Barnhart 2010 Goals Kathy Barnhart Event Goal - $194,000 (current amount raised = $22,708) Online Goal - $24,000 (current amount raised = $4,801.54) Team Goal = 50 (current # of teams registered = 31) Survivor Goal = 160 (current # of survivors registered = 75) Sponsorship Goal = $15,000 Luminaria Goal = 1,300 Survivorship Update Carol Findley Planning to have a Survivor Tent on the field near the track with a seating area (rockers). If you or any of your team members have any rockers that we could borrow, please let Carol Findley know. Planning to have a Survivor activity on the day of Relay. Survivors will be able to decorate a quilt square which will then be used to make a quilt. We are checking with the Mount Nittany Medical Center to see if they would be willing to display the quilt. We would like to expand the Newsletter to include Survivor and Caretaker stories. If you or any of your team members would be interested in writing a short story about their survivorship or their role as a caretaker, please let Carol Findley know. Team Spirit Carol Findley Total Teams Registered = 31 o New Teams = 7 o Retained Teams = 24 o 19 teams to go to meet our goal If your team hasn t registered yet, please do so as soon as possible. This helps the committee in planning the event. We need to continue to recruit new teams. There is a Team Spirit incentive if your team recruits a new team.

2 Team Spirit Award Criteria o Meeting Attendance / Participation o Early Team Registration o Campsite Decorating o Volunteer Sign-up at the Event o Plan a Relay Activity (e.g. children s, event, lap) o ACS CAN Sign-up o Recruit a new Team(s) o Recruit a new Survivor(s) o Solicit Sponsorship o Solicit an item for the Event Raffle Logistics Update Zach Robinson At the March meeting, sign-up for tents/campers. Entertainment Updates Kathy Rockey If you have any suggestions for entertainment, please your suggestions to Kathy Rockey. Kathy asked if there was interest in having the Quarter Auction again the evening before Relay. There was a lot of interest from the teams. Suggestion that this year s auction only include items that Teams donate and each team would be asked to sell 5 tickets. Not sure what role the vendors will play in this year s auction. Any suggestions, forward them on to Kathy. Online/PR Deb Sinkus Deb is working on a Troubleshooting Tips document that she will post on our Website, in case you are having problems using the website to create your team or use it for fundraising. You can also contact Deb for assistance as well. If your team is having a fundraiser, forward the information/brochure to Deb and she will post it to the Website.

3 Relay Day at the Mall Kathy Barnhart Saturday, March 27 from 10:00 4:00 at the Nittany Mall. If your team wants to participate in this fundraiser, contact Kathy Barnhart or ) with the following information: o Team Name o What fundraiser your team will be doing o How many tables your team will need Deadline to let Kathy know is: March 19. Relay Picnic Kathy Barnhart Bob Booz will not be able to coordinate this year s Relay picnic. Asked for volunteers to help coordinate. Several folks volunteered but if you would like to help, please let Kathy Barnhart know. RFL of Centre Hall Website Website Address: A lot of information will be provided on the website (Announcements, Handouts, Forms, Team Fundraisers, Troubleshooting Tips) The website is also a great way to do fundraising. Create a Team Website and ask each of your team members to join your team. Any questions about creating your team or individual website, contact Deb Sinkus. Program Ads The ACS office is currently printing the program ad forms. We will have some available at the next Team meeting. Deadline will be the middle of May.

4 Event Raffle If you or your team has any ideas for Raffle items, please let Liz and Kathy know. Sponsorship Review Sponsorship informational packets are available at the ACS office. Sponsorships are a great way for businesses to advertise as well as help our Relay. Various levels of sponsorships: Platinum, Gold, Silver, Bronze Minimum level for sponsorship is $500 Various perks for the sponsorship: recognition in the Program Booklet, advertising on t- shirt, Banner at event, recognition in printed material such as the newsletter, website, Sponsorship needs to be finalized by mid-may. If your team solicits a sponsor, your team will earn Team Spirit points. For questions, contact Liz Kauffman Volunteer Opportunities We have some opportunities to help out with the Committee and our Relay event. If you or someone on your team is interested in helping out or have any questions about these committees, please contact Liz and Kathy. Luminaria Team Development/Recruitment Sponsorship New Business There was a suggestion that our Relay sponsor a Bench to the Grange Fairgrounds to thank them for their generous donation of letting us use the fairgrounds for our event. The Mount Nittany Medical Center participated in the Pink Glove dance that was part of the Lady Lion Pink Out event. You can see it on YouTube at:

5 Reminders ACS office has a Non-Profit Tax Exempt License, Bingo License and Small Games/Chance License for teams to use. Contact Liz Kauffman about these. Due to IRS reasons, team checking accounts are NOT permitted. Monies can be turned into the ACS office anytime.
